Privacy Policy
We do not share, or sell, or disclose to a third party, any information collected through our website other than outlined below.
Personal Information
For you to make a booking with us you must provide us with your name and contact details so that we can book you in and communicate with you about your retreat. To confirm the booking, you must also complete a signed personal information form – this form collects information about you including your full name, DOB, address, medical conditions, and mental health as well as doctors contact and next of kin contact details in case of an emergency. This information is required as part of the therapies offered on the retreat, as per our insurance policy this information must be kept for 7 years. Initially this information will be kept in a folder on my business email which is password protected until completion of your retreat. Following your retreat, the electronic version will be deleted, and this information will be only kept as a paper copy in a secure locked filing cabinet along with your session notes for 7 years. During your reiki and EFT sessions notes will be taken and as per our insurance policy these must be kept for 7 years. These notes will be handwritten and stored in a locked filing cabinet. If working with children parental consent will be used (although a child over 13 years may provide their own consent) and the session notes / personal information must be kept until they are 18 years of age + the 7 years as above. After 7 years your personal data will be destroyed securely. These notes are confidential and will not be shared with anyone unless you request a copy. Client session notes will not be used for any purpose outside the session unless required to do so by law. Please note we have a legal obligation to share information if harm to life or child abuse is suspected. Sometimes there is a statutory obligation to process your information e.g. we may be required to give information to legal authorities if requested through a court order or search warrant.
Payment data
To process your booking and receive payment we use STRIPE – our website does not process your payment and we do not have access to your card details. When processing your payment STRIPE will take the required information, e.g. name, card details, billing address and contact details. Please see the Stripe Privacy Policy for more details and to understand how they process and manage your data. We receive emails from stripe and can access some of the data collected through the secure stripe dashboard, we can access your name, card issuer, expiry date, billing address and contact details but we cannot access your card details. We only access the information through the password protected dashboard we do not download or save any of this data on our computer. Only the basic minimal data required (name and date of retreat) will be used for accounting purposes to show payments received by the company for TAX purposes and this will not be stored anywhere except on the STRIPE dashboard or as shown on business bank statements. All accounting data and information must be kept for a period of 7 years to comply with UK law.
All email correspondence will be kept in our business email folders which is password protected, accessed through a password protected computer, all email correspondence will be kept in the email folder (except the personal information form which will be deleted and kept as hard copy following your retreat – see paragraph above). These emails will be kept indefinitely unless you request that they are deleted. We will keep your contact details such as name and email address or telephone number to maintain communication with you regarding your retreat or individual treatments. Although we don’t send out newsletters or other regular correspondence there may be occasions that we are running additional events or training such as Reiki training that may be of interest to you. If you have given consent on your personal information form, then we will email you information about these future events however you can remove your consent to receive future emails at any time by emailing [email protected] .
Zoom
We will use your email address to send out ZOOM links if you are having a session online. Please note that if we are using ZOOM for an online session you can find the ZOOM privacy policy here Privacy | Zoom. Zoom collects data when you become a user, we will not process any data available on the ZOOM platform. Please see the ZOOM privacy policy above to see what data ZOOM holds and how they use it, this link gives details of GDPR compliance on ZOOM GDPR Compliance (zoomgov.com). We will send invites (with password and ID) to participants email addresses and only allow invited people into the session. Please be aware that everyone on the ZOOM session can see your registered name as well as hear you and see you and your background unless you turn off your camera and mute your audio. Occasionally I may request to record a ZOOM meeting if a client can’t make the meeting in a group session, I will seek permission from all parties involved and will not record if any participants are not happy with this (you will always be told by zoom if the session is being recorded). If a video is made this will be saved on my password protected computer and deleted within a specified amount of time which will be discussed at the time of recording. The recording will be shared with the specified recipient only via wetransfer.com, the file is shared on a link via email where the video can then be downloaded. This link expires after 7 days and the video cannot be downloaded after this time.

You can request to receive information about the personal data I hold about you at any time. You can also request that I erase any personal data I hold about you. This does not include any data I am obliged to keep for administrative, legal, or security purposes.
How I protect your data
I only keep your data on my personal computers, which are all password protected.
